Clearstream is a large international financial institution offering post-trade infrastructure, securities and fund services for the international and domestic markets worldwide.
The ICT risk management control function plays a pivotal role in safeguarding our organization against technological and information security risks. We partner closely with product, technology, security, and risk teams to ensure the resilience of our systems and services. We actively steer ICT risk governance and framework design, monitor and oversee technology risks, perform focused risk assurance, and enable compliance for legal entities, branches, and representative offices in scope with direct reporting line to the corresponding Executive Board(s).
Your responsibilities:
- The assistant position to the ICT Risk function provides essential coordination, project management, and administrative support to the ICT Risk oversight by working closely with the Heads on day-to-day activities and ensuring effective communication and coordination between ICT Risk Governance, ICT Risk Oversight, and ICT Risk Assurance teams.
- The candidate liaises between the Heads and the team members, help prioritize deliverables, streamline daily operations, formalizing priorities, and supporting the overall effectiveness of the ICT Risk function. Also be the contact person for other departments and units.
- Monitor the execution and progress of all relevant deliverables. Report on the progress and timely escalate issues.
- Coordinate the team activities including preparation of agendas, presentations, tracking of targets and milestones achievement, conveying information, and coordinating requests for information and status updates.
- Plan the meetings, ensure their relevance and efficiency both from a content and outcome perspective, ensure tasks allocated proactively, and follow-up actions monitored. Work with the team members to ensure effective preparation of meetings and proactive management of the outcome.
- Prepare strategic and operational notes on various topics and executive presentations to high profile audiences.
- Ensure proper governance and monitoring of decisions taken, open topics, and that actions are taken with clear ownership. Ensure that stakeholders are timely informed about decisions and actions status.
- Support the development of the ICT Risk communication plan, implementing, and maintaining the plan.
Your profile:
- 4+ years of experience as executive assistant or junior project manager, preferably in technology, risk, or compliance areas.
- A high level of integrity and discretion in handling confidential information is required.
- Advanced office skills to create high-quality presentations and reports along high proficiency in Keynote, attention to details is important.
- Proven ability to work in a fast-paced environment along flexibility and problem-solving abilities to timely complete tasks and deliverables with limited guidance.
- Strong organizational and time-management skills with sound judgement reacting with appropriate urgency to situations that require a quick turnaround.
- Project management skills and demonstrated abilities to follow through on requests until completion.
- Proficiency in written and spoken English, German is a plus.
