Your area of work

 

Prague Branches Management Support covers entity statutory functions, governance, supplier relations and contract management, and the companies’ policy & procedure frameworks for three branches within the location.

Your responsibilities

  • Organizing travel and accommodation for executives
  • Coordinate team meetings, workshops, events (onsite and offsite) and prepare an agenda
  • Coordinate communication with local authorities via the Databox
  • Management daily administrative tasks – mailbox, calendar, scheduling and organizing documents
  • Cooperate and liaise with the Third parties and contract management lifecycle
  • Keep in line with governance functions, regulations, and obligatory reporting
  • Support various projects, coordinate activities and ensure effective workflow, communication and decision documents for team and executives
  • Handle Expense reporting preparation and submission, invoicing and basic accounting task.
  • Prepare the budget and monitor its consumption.
  • Maintain office supplies and managing inventory
  • Fleet management
  • Cross BU cooperation – HR, IT, FM, Procurement
  • Contingency workers’ workforce assistance
  • Supporting team in various tasks

 

Your profile

 

  • Relevant work experience in the field of Office Management
  • Organizational skills
  • Seating clear goals, prioritizing tasks, fostering open communication and strategic planning
  • Focused on delivery and fulfilling tasks in a timely manner
  • Experience working alongside others and offering support to achieve shared goals
  • Open minded and problem solving oriented
  • Proficient user of MS Office - Excel, Word, PowerPoint, SAP knowledge would be beneficial
  • Fluent in Czech and English language in written and verbal communication
