Your area of work

To be the primary point of contact for Facilities Management (FM) operations at Deutsche Boerse Group (DBAG) Futurama office. Manage and coordinate multiple contractor and supplier activities in order to ensure the effective and efficient delivery of support services and to manage the Facilities Budget and prompt certification of contractor payments.

 

Your responsibilities

  • Point of contact for Facilities Management related issues.
  • To develop and maintain good working relationships with key stakeholders, including senior management, landlords` agent, suppliers, contactors and FM teams based in other locations and central FM personnel based in Frankfurt.
  • To represent locally the Head of Facilities Management for DBAG and to communicate and act on his instructions promptly and with diligence.
  • Develop a good working knowledge of all FM operational processes and applications.
  • Liaison with and management of catering contractor. Ensure contract requirements are delivered. Monitor kitchen environments and supplies.
  • Coordinate with purchasing FM tender processes. Develop a good knowledge of purchasing procedures.
  • Procurement of ad-hoc variable items.
  • To be responsible for Contract Lifecycle Management, prepare contracts, amendments, variation orders. Work with Sirion application.
  • Monitor energy management – monthly energy meter readings, annual reporting in WeSustain, collection of all related documents, certificates etc.
  • Prepare and manage the FM budget for the year, oversee the production of monthly expenditure updates ensuring prompt submission of invoices by suppliers, authorisation of payments and a year-end balanced budget
  • Administrative support of local FM team
  • Complete monthly management reports for Head of Facilities

 

Your profile

  • Competent in English and Czech language (written and spoken)
  • Previous Office Management or Facilities Management experience
  • Previous supplier management experience
  • Analytical and strategic thinking capability
  • Competent with figures and a good understanding of budget management
  • Effective communication skills
  • Effective time management skills
  • IT literate - effective use of Microsoft office applications, particularly Excel and Word.
  • Ability to work independently or within a team
  • Problem solving abilities and positive ‘can-do’ attitude
